When booking Sierra Holiday Caravan, you must ensure that you agree to the Terms & Conditions below.
Our guests’ enjoyment and safety is paramount and therefore we ask you to read the following Terms and Conditions before making your booking. Breach of these Terms may result in anyone staying in the caravan being asked to leave the property immediately without refund for holiday days lost.



1a.   The contract is for the hire of the property for short term holiday letting and will be formally entered into between the Property Owner ("Owner(s)") and the Hirer ("Hirer") when the required deposit payment has been received and confirmation of booking for the holiday dates sent by email in the booking agreement.  

1b. The “accommodation” (Sierra Holiday Caravan) is not to be sublet or used for any business or illegal purpose.  Failure to disclose all relevant information or comply with these terms may lead to termination of the contract & loss of the booking. The owner reserve the right to refuse a booking without giving any reason.


2a.     The Hirer must be at least 21 years old and accepts responsibility for anyone (including pets) staying during the booking period, and their visitors. The booking is not transferable to anyone else or to other dates without the owners written agreement. We do not accept bookings from under 21s or same sex groups.  If on arrival or during your stay it is discovered there is a breach of this condition we will retain/retrieve the keys and no refund will be given.


2b.     The total number of people staying during the booking period must not exceed the maximum occupancy of 6 people. The number of adults and children must be stated on the booking form at the time of booking, alteration of occupancy may incur an additional fee. We reserve the right to terminate the booking without notice or refund in case of a breach of this condition.


3a.     A deposit of 25% of the total holiday price, is payable at the time of booking. Bookings made less than six weeks before  arrival date must be accompanied by the full amount of the holiday charge plus the refundable bond.

3b.     The balance and refundable bond must be paid no later than six weeks before the commencement of the holiday. If the balance is not received by the due date then the holiday will be treated as a cancellation and the hirer remains liable to pay the balance of fee.

3c.     Payment of the deposit, balance and bond can be paid by Credit or debit card or by bank transfer if preferred, please contact us for bank details.



4a.    The Hirer accepts responsibility for any theft, breakage or damage howsoever caused and agrees to indemnify the owner in full for any loss that we may incur as a result. Please treat the facilities & accommodation with due care so that other guests may continue to enjoy them. In the event that you notice damage in the accommodation please let the owners know immediately so that we can take the appropriate action. Bookings are subject to a £80 BOND, which will be returned to you within 14 days of your departure, less any charges for breakages, damages, missing items and extra cleaning (all purchases will be charged at cost, time taken at £12/hour). Extra cleaning is charged if the accommodation is left dirty and untidy; and if stains and/or pet hairs have to be removed e.g. from bedding, carpets or furniture or if dog poo is left around the caravan or surrounding areas. The BOND is forfeited if there is evidence of smoking; or relatively minor damage to fixtures and fittings which are difficult to quantify or repair (e.g. small burns, impact damage and scratches). If the total charges exceed the BOND we will send you an invoice for the difference which you agree to pay us on demand.



5a. All cancellations must be immediately notified by telephone – 01239 814796 and then in writing by email to

5b.  If you notify us of your wish to cancel more than 6 weeks before the first day of your Stay, you will not be liable to pay the balance.

Where we are able to re-let the Caravan for all or part of the period of your Stay, you will be entitled to the return of all or part of the Deposit, less in all cases an administration fee of £25 to cover our costs and third party costs related to the cancellation and rebooking (such costs include our admin costs,  bank fees, accounting fees and agent’s fees or commission payments).

The amount we refund to you under this Clause will depend on the final rental price that we receive for the new booking (which may be less than you have paid or agreed to pay).  Any refund due will be reimbursed on your check-in date of your original booking. 

If we are unable to re-let the Caravan for the dates of your stay you will not be entitled to the return of any of the Deposit.

5c.  If you notify us of your wish to cancel less than 6 weeks before the first day of your Stay, you will be liable to pay the balance (if you have not already paid it).  Where we are able to re-let the Caravan for all or part of the period of your Stay, you will be entitled to the return of all or part of the cost of your Stay, less in all cases an administration fee of £25 to cover our costs and third party costs related to the cancellation and rebooking (such costs include our admin costs, bank fees, accounting fees and agent’s fees or commission payments).

The amount we refund to you under this clause will depend on the final rental price that we receive for the new booking (which may be less than you have paid or agreed to pay).

If we are unable to re-let the Caravan for the dates of your Stay you will only be entitled to a nominal refund to cover the costs that we do not otherwise have to expend relating to your stay (cleaning costs, key release fees and welcome pack costs).   Any refund due will be reimbursed at the arrival date of the original booking.


5d.  In all cases of cancellation by you the refundable damages bond will be refunded to you in full.  We reserve the right to treat all changes made 48 hrs after receipt of deposit as a cancellation and a new booking.



Your inability (or the inability of any, some or all of your intended occupants) to travel to and stay at the caravan for any reason (including but not limited to, illness, requirement or recommendation to self-isolate or quarantine, jury duty, incarceration, change in personal or work circumstances, family emergencies and travel delays) remains at your risk and does not give rise to a right to cancel or to receive a refund other than under the terms of Clause 5.

COVID-19 related local lockdowns affecting you as the lead booking party are subject to separate arrangements which are set out in Clause 7.

We strongly advise that you take out comprehensive travel insurance. If you choose not to then you accept responsibility for any loss that you may incur due to your cancellation.


7. Cancellation by you due to a COVID-19 / Coronavirus lockdown


7a.  We acknowledge that COVID-19 / Coronavirus related national/local lockdowns are circumstances beyond your control for which travel insurance does not appear to be easily available. We have therefore agreed to share the risk of you not being able to travel for these very specific local lockdown circumstances.

If you are unable to travel because travel outside of the area where you (the booking lead) live is not permitted, then you may cancel your booking by providing written notice to us. Provided that the restriction continues for the period of your Stay, you shall be entitled to a refund equal to the cost of your Stay.

If you cancel your booking in accordance with this Clause 7b and the relevant rules / guidance are later eased or amended so that you are able to travel for the dates of your Stay and we have not yet re-let the Caravan, we will reinstate your booking allowing you to continue with your Stay. If you do not wish to have your Stay reinstated then the cancellation and any refund shall be dealt with in accordance with Clause 5.

Where part of your Stay is impacted by such a restriction, any entitlement to a refund shall be adjusted proportionally to reflect the period that you otherwise may have been able to utilise for your Stay.

If you do not notify us as soon as possible after you become aware that a local lockdown will likely prevent you from travelling, we reserve the right to reduce the amount returned to you, to a lesser amount as the failure to notify us is likely to have an impact on our ability to re-let the Caravan (or the costs we expend in respect of the Stay such as cleaning, key release and passes). You should not assume that because we have your address at the time of booking, that we are able to track the circumstances of your locality and any restrictions that may or may not apply to you. We ask you to work with us on this, because we all miss out when we are unable to re-let the Caravan.

The Covid 19 refund policy covers local lockdowns and restrictions ONLY, it does NOT cover you (or members of your party) for being unable to travel because you (or a member of your party) fall ill with Covid, or are required to self-isolate.  These events can be covered by you taking out comprehensive travel insurance.  There are a number of policies that include cover for illness with Covid 19 and self-isolation and you can look for suitable cover on websites such as the post office and stay sure.

ALWAYS follow government regulations & advice regarding travel, health & safety.  Acceptance of these terms deems you or any member of your party are in compliance with both government policy and Pencnwcs Track and Trace Program available here .

7b. Cancellation by us

If our performance is hindered or prevented by a Force Majeure Event (please see definition below), we may, at our sole discretion, offer you:

(a) a full or partial refund; or

(b) alternative dates; or

(c) such other remedy as we consider appropriate (acting reasonably) with regard to the circumstances.

Force Majeure: Your booking will not be cancelled by the owners except in exceptional circumstances beyond our control.  Circumstances outside our reasonable control include but are not limited to war, threat of war, riot, terrorist activity, natural or nuclear disaster, pandemics, any law or any action taken by a government or public authority, fire, property damage, severe weather conditions such as storm, tempest, ice, snow and flood. Notification will be given of the cancellation as soon as possible.



8a.   Arrivals are between 4pm and 6pm. Check closes strictly at 6pm if you are not at the park by 6pm you will be unable to check in until 9am the following day. There is no refund for late arrivals or early departures.  Guest arriving early are welcome to report to reception and enjoy the park facilities until the caravan is ready.

8b. Departures strictly no later than 10am on the last day of your booking.  Sierra Holiday Caravan will be clean and tidy when you arrive and you agree to leave it as you found it when you depart.  Please note in the event that any keys issued are not returned to Pencnwc Reception at the end of your stay, then the cost of replacement will be charged to you.


9a.  The price includes use of Sierra Holiday Caravan; electricity/gas for light, heat and power, water, pots, pans, crockery, cutlery, microwave, toaster, kettle, fridge freezer, freeview TV, DVD player, parking for 1 car, picnic table, access to Pencnwc facilities except any swimming pool access charges or restrictions.


9b. You will need to bring all cooking ingredients, washing up items, toilet rolls, personal belongings, towels, tea towels and linen.    Linen :  Linen is NOT included in your price: Duvets, & Pillows are provided for your use. Towels, tea towels and bath mats are NOT provided, please bring your own.  Any stains/ pet hair or damage you agree to pay the cost of replacement and/ forfeit your bond.

10. PETS
10a. One or two well behaved pets are included in the price of your holiday.
10b. Pets must NOT be left alone in the accommodation at ANY time.  Please clean up after your pet(s) (including sweeping and mopping the floors before you depart, see BOND).


10c. Puppies under 12 months of age are only accepted at the owner’s discretion, please contact us to discuss requirements.


10d. We respectfully ask that no bitches in season are brought on holiday, we appreciate that owners cannot always anticipate, if alternative arrangements can't be made we can alter your dates of stay subject to availability.


11a. Any problem or complaint which you may have concerning your holiday and/or any damage, breakages and missing items must be immediately reported directly to the owners or our representatives and we will endeavour to put matters right. Any complaints not reported to us at the time and only reported after you have returned from holiday will not be considered by the owner.


11b.   Please remember to lock the doors and close the windows when you leave the accommodation. 

11c.   Please note that in the event that any keys issued are not returned to Pencnwc Reception at the end of your stay, then the cost of replacement will be charged to you.

11d.   Children under 18 years old must always be supervised by an adult when in the accommodation and grounds, and when using the parks WiFi and Freeview TV.

11e.   There is parking adjacent to the caravan  for one vehicle only. We do not accept liability for theft of, or damage to, vehicles and/or their contents unless caused by our negligence.

11f.   Smoking is not permitted.

11g.   You must not cause a disturbance or nuisance to Pencnwc Holiday Park, its agents, or neighbours. We reserve the right to terminate a holiday without compensation where the unreasonable behaviour of the persons named on the booking (or their guests) may impair the enjoyment, comfort or health of others.

11h.   We or our agents may enter the accommodation at any time with reasonable cause, e.g. for maintenance or meter reads, but we will always try to minimise any disruption to your holiday.


11i. LIABILITY- The owners, their employees and representatives, shall not be liable to you or your party for loss or damage to any personal property howsoever arising. You must take all necessary steps to protect and safeguard your personal property.

11j. Any data collected during booking may be stored and we will not knowingly share this data with anyone else unless legally obliged to do so.


a.    Guests are requested to familiarise him/herself and all members of his/her party with any safety information provided for the caravan & onsite, in particular the location of all exits & fire fighting equipment . Please refer to appropriate user manuals for the appliances if unsure how to operate them.

b.    Smoke alarms and carbon monoxide detectors are fitted throughout the caravan for the safety of all occupants. These are checked on a regular basis. They must not be moved, tampered with or disabled under any circumstances. Such action is dangerous and may void insurance cover.

c.    The use of candles, Chinese Lanterns, deep frying / chip pans or fireworks by the Guest or his or her party is not permitted.


d. Any disposable / portable or single use barbecues must be placed on the patio slabs, and at a safe distance from the caravan  so as not to cause heat and/or smoke damage and with due regard to other visitors so as not to cause damage, nuisance or pose a fire risk.

13. All our prices include ‘passes’ which allow access into the entertainments complex.

Swimming Pool – there is a nominal charge of 50p per person for access into the swimming pool.  The indoor heated pool is open seasonally, children under the age of 8 yrs need to be accompanied by a responsible adult.


Fishing Lake – rules apply please refer to Pencnwc Website - – the fishing lake is stocked for coarse fishing and is included in your stay.

We do not supply any equipment or bait.  For safety children under the age of 16 yrs are not permitted around the lake are unless accompanied by a responsible adult.


14. Children’s Activities – Although most events are supervised, we regret we are unable to take responsibility for individual children.  Activities are for entertainment purposes only and not designed as a child care facility.


15.   We reserve the right to make reasonable amendments or additions to these terms and conditions without notice.
