When booking Sierra Holiday Caravan, you must ensure that you agree to the Terms & Conditions below.
Our guests’ enjoyment and safety is paramount and therefore we ask you to read the following Terms and Conditions before making your booking. Breach of these Terms may result in anyone staying in the caravan being asked to leave the property immediately without refund for holiday days lost.
BOOKING TERMS AND CONDITIONS
1a. The contract is for the hire of the property for short term holiday letting and will be formally entered into between the Property Owner ("Owner(s)") and the Hirer ("Hirer") when the required deposit payment has been received and confirmation of booking for the holiday dates sent by email in the booking agreement.
1b. The “accommodation” (Sierra Holiday Caravan) is not to be sublet or used for any business or illegal purpose. Failure to disclose all relevant information or comply with these terms may lead to termination of the contract & loss of the booking. The owner reserve the right to refuse a booking without giving any reason.
2. BOOKING TERMS
2a. The Hirer must be at least 21 years old and accepts responsibility for anyone (including pets) staying during the booking period, and their visitors. The booking is not transferable to anyone else or to other dates without the owners written agreement. We do not accept bookings from under 21s or same sex groups. If on arrival or during your stay it is discovered there is a breach of this condition we will retain/retrieve the keys and no refund will be given.
2b. The total number of people staying during the booking period must not exceed the maximum occupancy of 6 people. The number of adults and children must be stated on the booking form at the time of booking, alteration of occupancy may incur an additional fee. We reserve the right to terminate the booking without notice or refund in case of a breach of this condition.
3a. A deposit of 25% of the total holiday price, is payable at the time of booking. Bookings made less than six weeks before arrival date must be accompanied by the full amount of the holiday charge plus the refundable bond.
3b. The balance and refundable bond must be paid no later than six weeks before the commencement of the holiday. If the balance is not received by the due date then the holiday will be treated as a cancellation and the hirer remains liable to pay the balance of fee.
3c. Payment of the deposit, balance and bond can be paid by Credit or debit card or by bank transfer if preferred, please contact us for bank details.
4. REFUNDABLE DAMAGES BOND
4a. The Hirer accepts responsibility for any theft, breakage or damage howsoever caused and agrees to indemnify the owner in full for any loss that we may incur as a result. Please treat the facilities & accommodation with due care so that other guests may continue to enjoy them. In the event that you notice damage in the accommodation please let the owners know immediately so that we can take the appropriate action. Bookings are subject to a £50 BOND, which will be returned to you within 14 days of your departure, less any charges for breakages, damages, missing items and extra cleaning (all purchases will be charged at cost, time taken at £12/hour). Extra cleaning is charged if the accommodation is left dirty and untidy; and if stains and/or pet hairs have to be removed e.g. from bedding, carpets or furniture or if dog poo is left around the caravan or surrounding areas. The BOND is forfeited if there is evidence of smoking; or relatively minor damage to fixtures and fittings which are difficult to quantify or repair (e.g. small burns, impact damage and scratches). If the total charges exceed the BOND we will send you an invoice for the difference which you agree to pay us on demand.
5a. All cancellations must be immediately notified by telephone – 01239 814796 and then in writing by email to
5b. If you cancel your holiday more than 6 weeks before it is due to start then and we are able to re-let your dates, we will refund you any monies paid to us, less a £50 administration fee and any discount amounts we needed to make to re-let the property. If we are unable to re-let, you remain responsible for the deposit, balance and bond. In this instance your refundable bond will be refunded to you less the administration charge. Any refund due will be reimbursed on your check-in date of your original booking.
5c. If you cancel less than 6 weeks prior to the holiday, you remain responsible for the full holiday charge and bond, there will be no refund unless we are able to re-let your dates. In which case we will refund all or part of the sum you have paid plus the refundable bond, depending on the value of the replacement booking, less our administration fee of £50. Any refund due will be reimbursed at the arrival date of the original booking.
5d. We reserve the right to treat all changes made 48 hrs after receipt of deposit as a cancellation and a new booking.
6. CANCELLATION INSURANCE
We strongly advise that you take out comprehensive travel insurance. If you choose not to then you accept responsibility for any loss that you may incur due to your cancellation.
7. CIRCUMSTANCES BEYOND OUR CONTROL (Force Majeure including Covid 19):
7a. Your booking will not be cancelled by the owners except in exceptional circumstances beyond our control. Circumstances outside our reasonable control include but are not limited to war, threat of war, riot, terrorist activity, natural or nuclear disaster, pandemics, fire, property damage, severe weather conditions such as storm, tempest, ice, snow and flood. Notification will be given of the cancellation as soon as possible and you will be offered an alternative date. If a new date cannot be agreed then you will be offered a credit note limited to payments made to us for your holiday (or a proportion of payment, if part way through your stay), valid for 12 months of arrival date. No additional compensation, expenses or costs will be payable.
7b. Coronavirus (COVID 19) – Correct at July 2020 -
ALWAYS follow government advice regarding travel, if you are feeling unwell, have visited a high-risk country or have been in contact with anyone who has been unwell or tested for COVID 19 then please do not travel to us.
Should you develop symptoms whilst staying with us, please notify Pencnwc Holiday Park immediately and make arrangements to return home immediately. You will not be able to self-isolate at Sierra Holiday Caravan.

The Coronavirus situation is changing constantly, the policy regarding the pandemic may change and we will respond accordingly. We will follow all government advice regarding travel restrictions and closures and ask that our guests do the same.
ARRIVAL & DEPARTURE
8a. Arrivals are between 4pm and 6pm. Check closes strictly at 6pm if you are not at the park by 6pm you will be unable to check in until 9am the following day. There is no refund for late arrivals or early departures. Guest arriving early are welcome to report to reception and enjoy the park facilities until the caravan is ready.
8b. Departures strictly no later than 10am on the last day of your booking. Sierra Holiday Caravan will be clean and tidy when you arrive and you agree to leave it as you found it when you depart. Please note in the event that any keys issued are not returned to Pencnwc Reception at the end of your stay, then the cost of replacement will be charged to you.
WHAT YOU NEED TO BRING
9a. The price includes use of Sierra Holiday Caravan; electricity/gas for light, heat and power, water, pots, pans, crockery, cutlery, microwave, toaster, kettle, fridge freezer, freeview TV, DVD player, parking for 1 car, picnic table, access to Pencnwc facilities except any swimming pool access charges or restrictions.
9b. You will need to bring all cooking ingredients, washing up items, toilet rolls, personal belongings, towels, tea towels and linen. Linen : Linen is NOT included in your price: Duvets, & Pillows are provided for your use. Towels, tea towels and bath mats are NOT provided, please bring your own. Any stains/ pet hair or damage you agree to pay the cost of replacement and/ forfeit your bond (see point 9)
10a. One or two well behaved pets are included in the price of your holiday.
10b. Pets must NOT be left alone in the accommodation at ANY time. Please clean up after your pet(s) (including sweeping and mopping the floors before you depart, see BOND).
10c. Puppies under 12 months of age are only accepted at the owner’s discretion, please contact us to discuss requirements.
10d. We respectfully ask that no bitches in season are brought on holiday, we appreciate that owners cannot always anticipate, if alternative arrangements can't be made we can alter your dates of stay subject to availability.
11. HIRERS RESPONSIBILITIES
11a. Any problem or complaint which you may have concerning your holiday and/or any damage, breakages and missing items must be immediately reported directly to the owners or our representatives and we will endeavour to put matters right. Any complaints not reported to us at the time and only reported after you have returned from holiday will not be considered by the owner.
11b. Please remember to lock the doors and close the windows when you leave the accommodation.
11c. Please note that in the event that any keys issued are not returned to Pencnwc Reception at the end of your stay, then the cost of replacement will be charged to you.
11d. Children under 18 years old must always be supervised by an adult when in the accommodation and grounds, and when using WiFi and Freeview TV.
11e. There is parking on-site for one vehicle. We do not accept liability for theft of, or damage to, vehicles and/or their contents unless caused by our negligence.
11f. Smoking is not permitted.
11g. You must not cause a disturbance or nuisance to us or our agents, or neighbours. We reserve the right to terminate a holiday without compensation where the unreasonable behaviour of the persons named on the booking (or their guests) may impair the enjoyment, comfort or health of others.
11h. We or our agents may enter the accommodation at any time with reasonable cause, e.g. for maintenance or meter reads, but we will always try to minimise any disruption to your holiday.
11i. LIABILITY- The owners, their employees and representatives, shall not be liable to you or your party for loss or damage to any personal property howsoever arising. You must take all necessary steps to protect and safeguard your personal property.
11j. Any data collected during booking may be stored and we will not knowingly share this data with anyone else unless legally obliged to do so.

12. All our prices include ‘passes’ which allow access into the entertainments complex.
Swimming Pool – there is a nominal charge of 50p per person for access into the swimming pool. The indoor heated pool is open seasonally, children under the age of 8 yrs need to be accompanied by a responsible adult.
Fishing Lake – rules apply please refer to Pencnwc Website - https://www.pencnwc.co.uk/ – the fishing lake is stocked for coarse fishing and is included in your stay.
We do not supply any equipment or bait. For safety children under the age of 16 yrs are not permitted around the lake are unless accompanied by a responsible adult.
13. Children’s Activities – Although most events are supervised, we regret we are unable to take responsibility for individual children. Activities are for entertainment purposes only and not designed as a child care facility.
